QuickBooks vs Xero for Restaurants: Which Should Keep Your Books?

October 18, 2026 · 9 min read · Prices checked October 18, 2026

The Verdict

QuickBooks Online Plus fits most multi-location or inventory-heavy restaurants — class and location tracking and inventory sit in one plan, and it bundles its own payroll. Xero Growing is the cheaper pick for a single location with a small office team: no per-user fees, automatic bill entry, and Gusto-powered payroll as an add-on. Either one works only if your POS sends it a clean daily sales summary.

QuickBooks Online and Xero are the two accounting systems most independent restaurants end up choosing between. Both connect to the bank, both handle bills and both can run payroll as an add-on. The differences that matter for a restaurant are price per user, how they split costs across locations, and what payroll costs on top. We pulled current prices from both vendors' own pages and ran the yearly cost for one restaurant, the same way you would in your restaurant budget.

What a Restaurant Needs From Accounting Software

A restaurant's books are simpler than they look. Most of the volume is one daily sales entry from the POS, a few dozen supplier invoices a week, payroll every one or two weeks, and rent. What makes restaurant accounting hard is splitting costs the way operators think about them — food, beverage, labor, occupancy — so the P&L shows prime cost and margins you can act on.

  • A POS connection: one summarized sales entry per day, by category and payment type, rather than every ticket.
  • Fast bill entry: food, liquor and supply invoices are the bulk of the work. Automatic bill capture saves hours.
  • Locations: two or more locations need costs split by location in one set of books.
  • Payroll: tips, tip credits and overtime make restaurant payroll the riskiest part to get wrong.

Pricing, Plan by Plan

QuickBooks Online lists Simple Start at $38 a month for one user, Essentials at $85 for three users, Plus at $140 for five users and Advanced at $340 for 25 users. Inventory and class-and-location tracking (up to 40) start at Plus. QuickBooks sells payroll in bundles; its payroll page lists Workforce Payroll with Simple Start at $88 a month plus $6.50 per employee, with Essentials at $125 plus $6.50, and Workforce Premium with Plus at $203 plus $10 per employee.

Xero lists Early at $27 a month (limited to 20 invoices and 5 bills), Growing at $59 and Established at $97, with no per-user license fees. Automatic reconciliation and bill entry are included from Growing up. Payroll is an add-on powered by Gusto at $36 a month plus $6 per employee or contractor. The Early plan's five bills a month rules it out for any restaurant that pays its own suppliers.

Worked Example: One Location, 25 Employees

A single full-service restaurant with 25 employees, one bookkeeper and an outside accountant. Regular list prices, before any introductory discount:

SetupMonthlyYearly
QuickBooks Essentials, no payroll$85$1,020
Xero Growing, no payroll$59$708
QuickBooks Plus + Workforce Premium (25 people)$453$5,436
Xero Growing + Gusto payroll (25 people)$245$2,940

On price alone Xero is cheaper at every step. The gap narrows in practice because many restaurants already pay for payroll through their POS or scheduling app — Toast, Square and Homebase all sell it — and only need the accounting plan. Compare those options in Toast vs Square and 7shifts vs Homebase before buying payroll twice.

Choose QuickBooks If / Choose Xero If

Choose QuickBooks Online if

  • You run two or more locations and want them split in one set of books
  • You want inventory inside the accounting system
  • Your bookkeeper or accountant already works in QuickBooks
  • You want payroll and accounting from one vendor

Choose Xero if

  • You have one location and want the lower monthly cost
  • Several people need logins and you do not want per-user pricing
  • You like Gusto for payroll, or already run payroll through your POS
  • You want a built-in cash forecast on top of the books

Whichever you pick, check that your POS has a working integration with it before you sign, and ask your accountant which one they prefer to close the books in. A cheaper plan your accountant has to work around costs more in billable hours than it saves. Then keep a 13-week cash forecast next to the books; neither tool replaces it.
