Toast vs Square for Restaurants: Which POS Actually Costs Less?

August 24, 2026 · 12 min read

Toast and Square are the two POS systems every independent operator shortlists, and both sales pitches hide the same thing: what you will actually pay. Toast quotes processing rates privately. Square publishes everything but gates restaurant features by plan. We pulled both companies' current pricing pages on August 24, 2026, and ran the full year-one math for a typical 2-terminal casual restaurant so you can compare real numbers, not marketing.

The Verdict

Toast for full-service depth. Square for flexibility and no contract.

At $60K/month in card sales, the two platforms land within about $500/year of each other all-in. Software fees are noise; payment processing is roughly 90% of what you pay either company. So the real decision is features and lock-in, not sticker price.

Toast is built only for restaurants: native kitchen displays, handhelds, deep third-party delivery integrations, and offline mode that keeps a busy Friday service running. The trade: a contract that typically runs 1 to 3 years with early-termination fees, and a processing rate Toast quotes privately per restaurant.

Square for Restaurants is month to month, publishes every rate, includes free online ordering, and starts at $0. The trade: restaurant-specific depth (coursing, KDS, 24/7 phone support) sits behind the $49/mo Plus plan. If you are still modeling your numbers, run them through our restaurant budget template before you sign anything.

What Each Actually Costs in 2026

Toast pricing

Toast's pricing page (checked August 24, 2026) lists three plans: the Starter Kit at $0/month for new single-location restaurants running up to 2 terminals, with a hardware kit at no upfront cost; Point of Sale from $69/month where you buy your own hardware; and Build Your Own at custom pricing. A payroll bundle runs $69/month + $9 per employee (promotional, list $90). The catch: the $0 plan is funded by processing. Toast does not publish its processing rate anywhere — it quotes each restaurant privately. NerdWallet's Toast review (updated August 6, 2026), which we use as the primary source for every unpublished Toast figure on this site, puts it at 2.49% + 15¢ when you pay for hardware upfront and 3.09% + 15¢ and up on the pay-as-you-go Starter Kit. The same review puts Toast's service commitment at two to three years with an early-termination fee. Get your quoted rate and your term in writing before signing.

Hardware note: Toast runs on proprietary Android devices you can only use with Toast. List prices per the same NerdWallet review: Countertop Starter Kit $1,203, Handheld Starter Kit $1,113, Toast Go 3 handheld $599, Toast Tap reader $149 — or $0 upfront if you accept the higher pay-as-you-go rate. Promotions are a snapshot, not a standing offer: as of August 2026 Toast was advertising 60% off hardware alongside 0% financing, so confirm what is actually running the day you quote. Square for Restaurants pricing

Square publishes everything. Plans (per Square's restaurant pricing page, August 24, 2026): Free at $0/month, Plus at $49/month per location, Premium at $149/month per location, and a custom Pro tier if you process over $250K/year. The Square KDS app costs $30/mo per device on Plus and $20/mo on Premium (not available on Free); the Kiosk app is $50/mo on Plus, $30/mo on Premium.

Square hardware (list prices, squareup.com, August 24, 2026): Register (2nd gen) $899, Handheld $399, Terminal $299, Stand and Kiosk $149 each, contactless Reader $59. You own it outright, and it resells — useful if you switch later.

Worked Example: Year-1 Cost, 2-Terminal Casual Restaurant, $60K/Month

Assumptions: $60,000/month in card sales, $25 average check (2,400 card transactions/month), two devices — one countertop station and one handheld — and no kiosk. Toast publishes neither its rates nor its hardware prices, so both come from NerdWallet's Toast review (updated August 6, 2026), the primary source we use for every unpublished Toast figure; Square rates are its own published ones. Our Toast vs Clover page runs the same price list over a larger three-device setup ($2,401), so its Toast hardware line is deliberately higher. Numbers exclude taxes, add-ons, and the occasional keyed-in card. This is the kind of line item that belongs in your operating budget — and in your startup cost plan if you haven't opened yet.

Three takeaways. First, all four scenarios land between roughly $24,700 and $26,600 — the platforms are closer on cost than either sales team will admit. Second, “free” is the most expensive option on both sides: Toast's pay-as-you-go costs about $1,700/year more than buying hardware even at the low end of its quoted rate range, and Square Free costs more than Plus at this volume because the 0.1-point rate difference ($720/yr) exceeds the $588 software fee. Third, processing is ~90% of total cost, so a 0.25-point difference in your Toast quote moves the answer more than any software fee.

* Toast does not publish rates. These use NerdWallet's Toast review (updated August 6, 2026): 2.49% + 15¢ when you buy hardware upfront, and 3.09% + 15¢ and up on pay-as-you-go. The pay-as-you-go row models that 3.09% floor, so a real quote lands at or above the figure shown — treat it as a best case, not an estimate. Square rates are published in-person rates as of August 24, 2026. Excludes hardware, add-ons, online and keyed transactions.

Strengths and Weaknesses

Toast

Restaurant-only platform: coursing, seat management, item countdowns, and handhelds that survive a Friday rush

Offline mode on every plan: orders, tickets, and card payments keep going out when the internet drops, then sync when it returns

24/7/365 phone support even on the $0 Starter Kit

Deep ecosystem: payroll, scheduling, xtraCHEF food-cost tracking, delivery integrations in one stack

Processing rate is custom-quoted and unpublished — you cannot comparison-shop from the website

Contracts typically run 2–3 years with early-termination fees (NerdWallet, August 2026)

Proprietary hardware is worthless outside Toast; add-ons ($75/mo online ordering, $50/mo loyalty per reports) stack up fast

Square

Every rate published; month to month, cancel anytime

Free plan is genuinely usable for counter service, with free Square Online ordering included

Cheaper, resellable hardware — a full 2-terminal setup for under $1,800

Payroll at $35/mo + $6/person is roughly half Toast's bundle for a 10-person team

KDS and 24/7 phone support locked behind the $49/mo Plus plan

Offline payments expire if you don't reconnect within 24 hours

Full-service depth (bar tabs, coursing) is newer and thinner than Toast's

Which One Should You Pick?

Choose Toast if…

  • You run full service: table management, coursing, and kitchen routing are daily life, not nice-to-haves.
  • Third-party delivery is a big revenue line and you want DoorDash/Uber Eats orders firing straight to the KDS.
  • You track margins tightly — pairing xtraCHEF-style invoice data with a food cost calculator habit is where Toast's reporting earns its fees.
  • You negotiated your processing quote down and got it in writing.

Choose Square if…

  • You're counter service, a café, food truck, or a new concept that may pivot — no contract means no exit penalty.
  • You want free built-in online ordering instead of a ~$75/mo add-on; it's one of the cheapest ways to grow sales without commission apps.
  • You run a small team and want scheduling and payroll cheap — Square Shifts plus Payroll undercuts Toast's bundle (build rotas free with our employee schedule template).
  • Predictable, published rates matter more to you than squeezing the last 0.1% via negotiation.

Switching Costs: Read This Before You Sign

The real price of a POS shows up when you leave it. Leaving Toast mid-contract means an early-termination fee — operator reports and reviews commonly cite four figures, often calculated from the months remaining — plus any unpaid hardware balance, and the proprietary terminals have no second life. Leaving Square costs nothing in penalties, and the iPads and Registers resell.

Either direction, budget the soft costs: rebuilding the full menu with modifiers (plan 10–20 hours), retraining staff (a slow Monday, not a Friday), re-entering recipes and vendors, and exporting customer/gift-card data — gift card liabilities are the migration item operators most often forget. Historical sales reports rarely transfer cleanly; download a year of CSVs before your access ends.

Worth a Look Before You Decide

CloverFiserv-backed, sold through banks and resellers — hardware is polished, but pricing varies wildly by reseller, so quotes need the same scrutiny as Toast's.
SpotOnToast-like restaurant feature set with a reputation for negotiable processing and more flexible terms; strong for independents who want a rep who answers the phone.
Lightspeed RestaurantiPad-based with strong inventory and multi-location reporting; a fit for bars and hospitality groups that outgrow Square but don't want Toast hardware.
